PDF to Excel extracts text from a text-based PDF into an XLSX workbook that opens in Excel, Google Sheets, Numbers and LibreOffice. Add the PDF from your device, Google Drive or Dropbox, pick whether each page becomes its own worksheet or everything goes on one sheet, then click Convert to Excel. The tool reads the embedded text with pdf.js and builds the workbook in your browser with xlsx.js, so the file never leaves your device. Note: this tool extracts text, not table layouts. For true column detection, try our PDF to CSV tool.
What is a PDF to Excel converter?
A PDF to Excel converter takes the text inside a PDF and puts it into a spreadsheet. The PDF format locks every character to a fixed position on a page, which is why PDFs look great on screen but are awkward when you want to sort, filter or count anything. XLSX gives you cells: each piece of text sits in a row and a column you can sort, format, and reference from formulas.
This tool reads the PDF with pdf.js, walks through every text item on every page, and writes it into an XLSX workbook with xlsx.js. By default, each PDF page becomes its own worksheet called Page_1, Page_2, and so on. If you prefer a flatter layout, you can instead put every page onto one sheet with a "Page" column so you know where each line came from.
The output uses the standard XLSX format, which is an open ISO standard and opens in Excel, Google Sheets, Numbers, LibreOffice, OnlyOffice and most other spreadsheets. The PDF is an ISO standard too; see the PDF Wikipedia page for the background, and Office Open XML for the XLSX side.
How to convert PDF to Excel in 5 steps
The process is short and needs no account. Follow these steps and the first workbook will be ready in under a minute.
- Add your PDFDrag a text-based PDF onto the upload card, click Browse, or import directly from Google Drive or Dropbox. The tool reads the file inside your browser using pdf.js.
- Review file infoThe file card shows the PDF name and size, and the stats bar shows the page count once it is loaded. Confirm you picked the right document.
- Choose sheet handlingPick whether each PDF page becomes its own worksheet (default), or whether the whole document goes on one sheet with a page-number column.
- Convert to XLSXClick Convert to Excel. The tool extracts text from every page and builds an XLSX workbook with xlsx.js. The progress ring shows live status.
- Download and openClick Download XLSX to save the file. It opens directly in Excel, Google Sheets, Numbers and LibreOffice with one worksheet per PDF page.
Extraction is fast because pdf.js reads the text layer directly instead of rendering and running OCR. A 100-page text PDF typically finishes in a few seconds. If the resulting sheets are empty, the PDF is probably image-based, and you will need an OCR step first.
Everything the converter can do
| Setting | Options | What it does |
|---|---|---|
| Sheet layout | Per-page, single | Each PDF page becomes its own worksheet, or everything is flattened onto one sheet with a "Page" column. |
| File name | Custom | Sets the name of the downloaded XLSX. |
| Worksheet preview | Automatic | Shows a tile for each page so you can see how many sheets you will get. |
| Page count | Automatic | Shows how many pages were read before you convert. |
| Import sources | Device, Google Drive, Dropbox, clipboard | Loads the PDF without leaving the browser. |
| Browser-only | Always | PDF text extraction and XLSX writing run entirely in your browser. |
Worksheet layout and the table question
There are two ways to look at this tool. It extracts text, which is useful for turning documents into searchable, sortable data. It does not attempt to reconstruct true tables, because column detection is a separate, much harder problem.
Text extraction (this tool)
Reads each text item on each page and puts it on its own row. Great for notes, reports, invoices and documents whose text you want to sort or search. Column boundaries are not preserved.
Table extraction (PDF to CSV)
Detects rows and columns using baseline grouping and vertical-gap analysis. Best for real tables — bank statements, financial reports, data listings. Use our PDF to CSV tool and paste the output into Excel.
Text reflow (PDF to Word)
If you want to edit or rewrite the text, not tabulate it, use PDF to Word instead. Word keeps paragraphs and headings, which are irrelevant in a spreadsheet.
Honest limit: if you expect exact column positions, you will be disappointed. This tool is honest about it: each text item lands in column A. For real tables, use PDF to CSV and paste the result into Excel — you will get far better fidelity.
Text-based vs scanned PDFs
This is the most important thing to understand about PDF to Excel conversion. PDFs come in two broad types, and only one of them works here.
Text-based PDFs
Created by Word, Google Docs, LaTeX, online invoices and most digital reports. They contain a real text layer that can be selected, copied and extracted. These work perfectly.
Scanned PDFs
Created by a scanner or a phone camera. Each page is a picture with no text layer. Selecting text does nothing. These need OCR first.
Quick test
Open the PDF and try to select a sentence with your mouse. If the text highlights, it has a text layer and this tool will read it. If nothing highlights, it is scanned.
Honest limit: OCR is not included in this tool. OCR engines add tens of megabytes and take much longer, so they belong in a dedicated workflow. If you have a scanned PDF, run it through an OCR tool first, save the result as a text-based PDF, then come back here.
Your PDF stays private
Everything happens in your browser. The PDF is loaded with pdf.js, the text is extracted page by page, and the XLSX is assembled with xlsx.js. Nothing is uploaded, logged or stored. When you close the tab, the file is gone from memory.
- Local processing. Text extraction and XLSX writing both run on your device, so confidential documents never leave your computer or phone.
- Direct cloud downloads. When you import from Google Drive or Dropbox, your browser fetches the file straight from that provider after you grant access.
- No account needed. You can convert without signing in. Read our privacy policy for details about the site itself.
Tips for better results
- Check for a text layer first. Select a line with your mouse. If it highlights, the PDF will work.
- Try per-page layout first. One sheet per page makes it easy to spot pages that failed to extract.
- Use one sheet for datasets. If you plan to filter or sort, a single sheet with a "Page" column is easier to work with.
- Filter blank rows. The tool includes every non-empty text item, so a page with lots of short labels will produce many rows. Use Excel's filter to hide empty cells.
- For real tables, switch to PDF to CSV. Column detection pays off when the source has real cells.
- Compress the source PDF first. Smaller PDFs extract faster. Run them through our Compress PDF tool.
Common problems and quick fixes
| Problem | Likely cause | Fix |
|---|---|---|
| Sheets are empty | The PDF is scanned or image-only | Run it through an OCR tool first, or test by selecting text in a viewer. |
| One long column of text | Text items are put on their own rows | This is expected. Use PDF to CSV if you need real columns. |
| Rows out of order | PDF stores text in a different order than displayed | Open the PDF in a viewer side-by-side and compare; multi-column PDFs often extract column by column. |
| Excel says the file is corrupt | Browser blocked the download, or the file was truncated | Retry the conversion and download again. Try a different browser if it persists. |
| Accented letters look wrong | XLSX workbook saved without UTF-8 | This tool writes UTF-8 through xlsx.js, so the file should be fine; if you edited it elsewhere, re-save with UTF-8 in mind. |
| Cloud import fails | The sign-in window was blocked | Allow pop-ups for this site, then press the Drive or Dropbox button again. |
Import from Drive and Dropbox, then share
You do not need to download the PDF to your phone first. The upload card includes Google Drive and Dropbox buttons, and the editor toolbar repeats them. The provider opens its own file picker, you select the PDF, and the tool downloads it into the page list with a live progress bar.
After conversion, the share panel appears under the download button. You can post a link to the tool on WhatsApp, Facebook, X, LinkedIn or Telegram, send it by email, or copy the link. On phones and tablets that support the Web Share API, the Share XLSX file button opens the system share sheet with the workbook attached.
