Excel to PDF turns a spreadsheet workbook into a clean PDF table. Drop an XLSX, XLS or CSV file onto the upload card, pick which sheets to include, choose page size, orientation, font, margins and table theme, then press Convert to PDF. The tool reads the workbook in your browser with SheetJS, rebuilds each sheet as a printable table with jsPDF, and lets you download or preview the result. Nothing is uploaded, no signup is needed, and the process works on phones, tablets and computers.
What is an Excel to PDF converter?
An Excel to PDF converter takes a spreadsheet workbook and turns it into a fixed-layout PDF document. Excel files are designed for editing, formulas, multiple sheets and pivot tables. A PDF is designed for viewing and printing: the layout is locked in place, so every reader sees the same page breaks, the same column widths and the same values.
Most people search for “excel to pdf” because they need to share spreadsheet data with someone who should not edit it, or because they must upload a PDF to a portal that does not accept XLSX. A PDF is easier to email, archive, print and sign. Our converter reads the workbook in your browser, lets you pick which sheets to include, and rebuilds each one as a clean printable table.
The PDF format is an open standard published as ISO 32000. You can read its background in the Wikipedia article on PDF, and the story of the XLSX format in the Office Open XML article. If you already have a finished PDF and want it back as a table, use our PDF to Excel tool.
How to convert Excel to PDF in 4 steps
The tool follows a simple path. You never need to install software or create an account. Follow these steps for a clean result on your first try.
- Add your spreadsheetDrag an XLSX, XLS or CSV file onto the upload card, click Browse, or import it from Google Drive or Dropbox. The workbook is parsed in your browser with SheetJS.
- Pick the sheets to includeThe editor shows every sheet as a tab. Click a tab to preview it, tick or untick the checkbox to include or skip it in the PDF. A live preview shows the first 200 rows of the active sheet.
- Choose page and table stylePick page size, orientation, margin and font size. Choose a table theme (grid, striped or plain), toggle fit-to-width, header row, sheet title and page numbers.
- Convert and downloadClick Convert to PDF and watch the progress circle. Then download the file or preview it in a new tab. The whole process runs inside your browser.
Small workbooks finish in seconds. A file with many sheets and thousands of rows takes longer because each sheet must be measured, paginated and drawn page by page. Keep an eye on the progress circle for live status, and stay on the page until the download button appears.
Everything the converter can do
Beyond basic conversion, the tool packs the controls that people normally pay for. This table lists each setting, its options, and the effect you can expect.
| Setting | Options | What it does |
|---|---|---|
| Sheet selection | Per-sheet checkbox | Includes only the sheets you tick. Each selected sheet starts on its own page. |
| Page size | A4, Letter, Legal | Sets the paper size for every page. A4 is universal, Letter for US/Canada, Legal for long sheets. |
| Orientation | Landscape, Portrait | Landscape is best for wide sheets with many columns. Portrait suits narrow lists. |
| Margin | 10 to 60 pt | Adds white space around the table for printing. |
| Font size | 5 to 16 pt | Balances readability against how many rows fit on a page. |
| Table theme | Grid, Striped, Plain | Grid shows borders around every cell. Striped adds alternating row colours. Plain has no borders. |
| First row as header | On or off | Treats row 1 as column labels, styled bold and repeated on each page. |
| Fit to page width | On or off | Scales columns proportionally to fit one page width, or lets wide sheets overflow onto extra page-widths. |
| Sheet name as title | On or off | Prints the sheet name in bold at the top of each selected sheet. |
| Page numbers | On or off | Prints a small label at the bottom right of every page. |
| Live preview | First 200 rows | Shows the active sheet exactly as it will appear in the PDF, with sticky headers and row numbers. |
Once the PDF is ready, edit it with our PDF editor, lock it with protect PDF, or merge it with other files using merge PDFs.
Page sizes and orientation explained
Choosing the right page size prevents tiny text and awkward margins. Most of the world uses the ISO 216 “A” series. The United States and Canada use Letter and Legal. Wide spreadsheets benefit from landscape orientation and A4 or Legal, while narrow lists fit nicely in portrait.
| Size | Millimetres | Inches | Best for |
|---|---|---|---|
| A4 | 210 × 297 | 8.27 × 11.69 | Most spreadsheets, worldwide |
| Letter | 216 × 279 | 8.5 × 11 | US and Canadian printing |
| Legal | 216 × 356 | 8.5 × 14 | Long tables, ledgers, legal filings |
Orientation works the same way across sizes. Choose Landscape when your sheet has many columns, and Portrait when it has many rows and few columns. Combine landscape A4 with 9pt font and 24pt margins for a reliable default that most printers handle without shrinking.
Why convert Excel files to PDF?
People convert spreadsheets to PDF every day, and the reasons go beyond tidiness. A PDF opens the same on any device, so the reader sees exactly what you intended. These are the most common situations.
Invoices and reports
Export billing or sales data from Excel, convert to PDF, and email a fixed-layout document that clients can open without a spreadsheet app.
Financial statements
Turn monthly ledger exports into printable PDFs for auditors, tax consultants and accountants who prefer a stable layout.
Attendance and rosters
HR teams export shift data as XLSX, then convert to PDF for payroll review and sign-off.
Analytics exports
Analysts export query results and convert them to PDF for presentations or stakeholder review.
Shipping manifests
Warehouse teams print packing lists and shipping manifests from XLSX that need a fixed layout at every stage.
Academic data
Researchers convert survey results and grade sheets into PDF tables for appendices, reports and journals.
After conversion, continue the workflow with merge PDFs to combine multiple reports, or compress PDF to shrink email attachments.
Your data stays private
Privacy matters because spreadsheets often contain customer names, order totals, employee records and financial data. This converter runs entirely in your browser. The tool reads the file on your device with the open-source SheetJS library, and writes the PDF with jsPDF. Neither library sends anything to a server.
- Local processing. The conversion code runs on your device, which also makes it fast on a good connection and usable on slow ones once the page has loaded.
- Direct cloud downloads. When you import from Google Drive or Dropbox, your browser fetches the file straight from that provider after you grant access.
- No account needed. You can convert without logging in. Read our privacy policy for full details about the site.
Table styling that reads well on paper
A good PDF table is easy to scan, easy to print and easy to archive. The styling controls in this tool follow the same principles used by designers of annual reports and financial filings: a strong header, alternating rows, aligned numbers and restrained borders.
| Choice | When to use it | Why it works |
|---|---|---|
| Grid theme | Financial tables, ledgers | Borders help readers follow rows and columns across many values. |
| Striped theme | Reports with many rows | Alternating row colours guide the eye without heavy borders. |
| Plain theme | Modern dashboards, summaries | Clean look with maximum whitespace and no visual noise. |
| Fit-to-width on | Wide sheets, print output | The table fits one page width without cutting columns. |
| Fit-to-width off | Very wide sheets that must stay readable | Columns continue onto extra page-widths so text stays legible. |
| Header row on | Any dataset with column names | The header repeats on each page, keeping context when scrolling. |
Tip: combine Landscape, Grid theme, Fit to page width and 9pt font for a reliable default. If a sheet is very wide, switch off Fit-to-width so text stays readable and the tool continues onto extra page-widths.
Limits and behaviour
Spreadsheets carry formulas, styles, charts, conditional formatting and merged cells. Because this converter rebuilds each sheet as a plain table, some of those details do not survive. Here is what you can expect.
- Formulas. The tool reads the displayed values, not the formulas themselves. Once converted, the PDF shows numbers, not spreadsheet logic.
- Cell colours and borders. Original Excel styling is not preserved. You choose a table theme instead, which gives consistent, printable results.
- Merged cells. The value from the top-left cell is shown, and the merge itself is dropped. This is the same behaviour as most PDF exports.
- Charts and images. Charts, images and shapes are not embedded in the PDF. Convert them separately with the image to PDF tool if needed.
- Hidden rows and columns. Hidden rows and columns are included unless you remove them from the sheet before conversion.
- Multiple sheets. Each selected sheet starts on a new page. Sheets are processed in workbook order.
- File size. Very large sheets with 10,000+ rows generate large PDFs. Split them into parts or use the CSV to PDF tool for a lighter output.
Tips for the best PDF results
- Keep one header row. Every well-structured spreadsheet has column names on row 1. Confirm the toggle before you press Convert.
- Delete empty sheets. Blank tabs add blank pages to the PDF. Uncheck them in the editor.
- Trim unused columns. Remove columns you never use — they still take width and force the fit-to-width to shrink everything else.
- Pick landscape for wide sheets. Landscape orientation fits 40 percent more columns than portrait on the same paper.
- Lower the font size for dense tables. 8pt or 9pt fits many more rows on a page without hurting readability.
- Use the striped theme for long lists. Alternating row colours make it much easier to track across wide tables.
- Preview before you share. A short conversion confirms the file looks right; you can always re-convert with different settings.
Common problems and quick fixes
Most conversion problems come from a handful of causes. Check this list before you start over, because each fix takes only a few seconds.
| Problem | Likely cause | Fix |
|---|---|---|
| File will not open | The file is an ODS or an old password-protected XLS. | Open it in Excel or LibreOffice and re-save as XLSX, or remove the password. |
| Numbers show as text | Cells have leading apostrophes or are formatted as text. | Fix the cell type in the source file, or accept the string output. |
| Columns look squeezed | Fit-to-width is compressing a wide sheet. | Switch Fit-to-width off so columns continue onto extra page-widths. |
| Table is very small | Too many columns for the page width. | Switch to Landscape, choose Legal, or switch off Fit-to-width. |
| Sheet is blank | The sheet has only formulas with no cached values. | Open the file in Excel or LibreOffice and let it recalculate, then re-save. |
| Merged cells are wrong | Only the top-left value is kept. | Unmerge and duplicate values in the source, or accept the simplified output. |
| Cloud import fails | The sign-in window was blocked or closed. | Allow pop-ups for this site, then press the Drive or Dropbox button again. |
If a file still fails, open it in Excel, Google Sheets or LibreOffice, then export a fresh XLSX or CSV. That step normalises quirks that older files sometimes carry.
XLSX, XLS and CSV compared
Spreadsheets come in several formats. This tool handles the common ones, so you rarely need to convert between them before uploading.
| Format | Extension | Notes |
|---|---|---|
| XLSX | .xlsx | Modern Excel format. Supports multiple sheets, formatting, formulas and images. |
| XLS | .xls | Legacy Excel 97-2003 format. Still widely used, but limited to 65,536 rows. |
| CSV | .csv | Single-sheet plain text, comma-separated. No formatting, formulas or images. |
| ODS | .ods | LibreOffice format. Not supported — export to XLSX or CSV first. |
For CSVs that need precise column widths or pagination, the dedicated CSV to PDF tool offers finer control. For XLSX with heavy styling, export to PDF directly in Excel and use this tool for everything else.
